What personal data we collect and why we collect it

Contact form

The information you submit through our contact form is emailed to us and stored in our Microsoft 365 Tenant.

Booking Form

The information you submit through our booking form is entered directly into our Microsoft 365 Tenant.

Order Data

When you make a payment through the website, your data is held on the website, and your card details are processed by Stripe.  We never see your card details.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for no more than two weeks. If you log out of your account, the login cookies will be removed.

 

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

We use Google Analytics to track anonymised activity on our website (Privacy Policy).

The data we collect is used to process your enquiry, booking reservation or payment.  

By contacting us, you give us your consent to hold your data in order to respond to you. 

By booking a reservation and/or making payment, we may process your data in order to create and fulfil a contract with you.

You also consent to us getting in touch with you after the event, to make you aware of opportunities such as special offers. 

We will hold and process your data in order to comply with the law.

We do not pass your data to third parties.

Who we share your data with

Order data is retained on our website, hosted by WPMU Dev (Privacy Policy) and managed for us by Out of the Hat Ltd (Privacy Policy).

Payment processing is carried out on our behalf by Stripe (Privacy Policy).

Booking, calendar data and emails are held within our Microsoft 365 Tenant (Privacy Policy).

 

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website or make payment through it, we also store the personal information you provide in your user profile. All users can see, edit, or delete your personal information at any time (except you cannot change your username). Website administrators can also see and edit that information.

We retain your data for the duration required by law to evidence our business.

Where we send your data

Visitor comments may be checked through an automated spam detection service.

Data submitted through our website is held within the website, hosted in the UK by WPMU Dev and managed by Out of the Hat Ltd.

Booking data is held within our Microsoft 365 Tenant.

 

Additional information

How we protect your data

Our Microsoft 365 Tenant is secured with passwords and 2-factor authentication.  The website is secured with passwords and anti-hacking measures such as IP address blocking.

 

Data breach procedures

If we detect a data breach, we will review it and determine the seriousness, making a decision whether to report it to the Information Commissioner.  We will inform affected individuals.
